Are you using Notion? There is a 0.25% chance that you are if you are human because there are 20 million Notion users and 7.75 billion of us on this planet. 🤓

A few of the 20 million total users of Notion work at Gretel, and we use it to organize our professional lives on a daily basis. However, many of you may not know all of the things you can do with it! We want to share 6 top Notion tips to help you get the most out of this tool.

For those who do not know, let’s introduce Notion. Notion is an all-in-one workspace that helps users schedule tasks, manage files, save documents, set reminders, keep agendas, and organize their work. It’s as simple as that, but there is much one can do with it.

Without further ado, here are 6 tips for becoming a Notion Pro:

1. Have you ever deleted something and the Ctrl+ Z / CMD + Z didn’t work? 😨

Don’t worry, you are not the first one. We’ve all experienced the same issue and felt the same fear. It’s even worse when the page you are editing is not yours. #badcoworker #justkidding

Have no fear; if you ever accidentally deleted something inside a page or made a mistaken edit, it’s no problem, and you can fix it. You can view all updates and iterations of your page history in Notion by navigating to the ellipses at the top right and selecting page history. This allows you to easily reverse any errors and restore old versions of the same page.

But be careful, as this is only available for Pro and Enterprise users, and it will only allow you to go back to past versions from the last 30 days.

Also, this cannot be used if you delete a page or database entirely. This feature only serves to restore previous versions of an existing document. You can find the page or database you just deleted in the "trash."

2. Organizing your space 🤓

Following the Marie Kondo (aka Konmari) book “Joy at Work”, you need to have an ordered and relaxed working environment. The more chaos there is, the more tiring and taxing it will get in the long run.

Notion is not an exception to these golden rules. With so many different tasks and projects, it can be difficult to keep everything in order.

To keep everything organized, you can create different priorities based on the different departments in your company (marketing, product, human resources, etc.). Add different main pages to your workspace to have all the information organized.

Moreover, if you work with third-party companies, you can create different workspaces for each company and have all of your information in one tool. A workspace is your virtual home. You can see your workspaces by clicking your company name on the top left of your Notion window.

3. Set up alerts! You cannot be on top of everything! 🤬

We have no doubt that you’re a super worker, but even the best ones cannot be on top of everything. Fortunately, Notion brings us some features to support us while managing our daily tasks.

To help you deliver everything on time, Notion allows you to set reminders for yourself by typing the '@' symbol and reminding you of the day and time you want to be reminded. With this feature, you can set it and forget it — until Notion reminds you, of course.

4. Filter Notion for you 🧐

Are you using databases in Notion for project management? Or task lists to keep track of your projects?

We’ll give you an example: while working with shared spaces, you can add a tag to each card and then easily filter on the menu to view only the things that you have assigned. You will be able to focus on the tasks and responsibilities assigned to you.

This is a feature of Notion databases, so you will be able to filter by tags or names no matter if the database is shared.

5. Don’t just organize your documents, but also your names 🚦

Maybe for your official website, it’s better to use other professional tools, but Notion also allows you to create easy intranets. How can you use it? What about those internal processes like onboarding or training sessions that are normally shared in pdf or PowerPoint?

Lastly, within Notion, you can create an intranet to easily link your most relevant documents, so they can be found easily.
